Empowering Employees Through Effective Delegation
Do you feel the weight of overseeing every aspect of your farm, even with a team of capable employees? Are you hesitant to empower others, fearing tasks won’t be completed to your exacting standards?
I’ve had the privilege of leading diverse teams across the province. This experience taught me the profound importance of setting clear expectations, empowering employees for success, and creating the space I needed to accomplish my own responsibilities without constant direct involvement. A cornerstone of this approach has been effective delegation.
Perhaps you’ve attempted delegation in the past, only to be met with disappointment when a task wasn’t completed to your satisfaction. Often, this isn’t due to a lack of effort but rather an unclear understanding of expectations or what “successful completion” truly entails. When executed correctly, delegation is a powerful tool that empowers both the employee, fostering a sense of pride and ownership, and the leader, granting valuable freedom and focus. Here are the steps I consistently follow when delegating:
Define the Task with Clarity
What may be crystal clear to you as the delegator might not be as evident to the individual taking on the task. This step is absolutely critical. Ensure the task is defined in unambiguous terms.
Confirm Skills and Knowledge
Create a safe space for your employee to ask any questions, no matter how big or small. This must be a no-judgment zone; it’s always better for employees to feel comfortable clarifying anything they don’t understand. Equally important, ask them questions to confirm their comprehension. Have them repeat their understanding back to you to ensure there’s no room for misinterpretation.
Establish Clear Boundaries and Rules
If there are specific actions that absolutely must be taken, or conversely, actions that must be avoided to complete the task, these need to be discussed up front. A prime example might be safety protocols. This is also an opportunity to share valuable insights or lessons learned from your or others’ past experiences with the task.
Articulate What Success Looks Like
How will the employee know when the task has been successfully completed and meets the expected standards? Notice the emphasis on “what it looks like,” not “how.” The method an employee uses to achieve the desired outcome might differ from your own, but that doesn’t make it incorrect. You must be comfortable with this! At the conclusion of the task, you might even ask them how they would approach it differently next time, or perhaps they’ve discovered a more efficient method than you’ve ever used.
Set Realistic Timelines
A timeframe could be measured in hours, days, weeks, or even months. Generally, the longer the timeline, the more frequently you’ll need to check on progress. However, it’s crucial to communicate these check-ins in advance. Without a defined timeline, you leave the interpretation of urgency entirely up to the employee.
When done correctly, delegation transforms from a daunting prospect into a cornerstone of effective farm management. It’s about empowering your team, fostering their growth, and ultimately, creating more time and focus for you to strategically lead your operation.
